1. Introduction

At UtilityMove.ca, we are committed to protecting your privacy. This policy outlines how we collect, use, and disclose personal information in compliance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

2. Information We Collect

To facilitate your utility move notifications, we collect:

  • Contact Details: Name, email address, and phone number.
  • Move Details: Old and new street addresses and move-out/move-in dates.
  • Payment Information: Processed securely via Stripe (we do not see or store your credit card numbers).
  • Verification & Security Information: When you verify your email address before sending, we record the date, time, IP address, and browser information of that verification. We keep this as evidence that notifications were sent at your direction, and to protect against fraud.
  • Sent-Notification Records: An exact copy of each notification you send, and delivery information returned by our email provider (for example, whether a provider's mail server accepted or rejected it), so we can prove what was sent and fix delivery failures.

3. Purpose of Collection

We use your information solely to:

  • Identify the utility and municipal providers (Electricity, Gas, Water, Property Tax) for your specific locations. For electricity in split-territory areas, we geocode your street address to determine which local distribution company serves it.
  • Prepare the right move content for each provider's process — a drafted email, an online-form checklist, or a telephone script.
  • Send you a confirmation email with your move package and each provider's contact details.
  • Where a provider accepts email, transmit your move request to that provider after you verify and approve it.
  • Send follow-up and review reminders (for example, a one-time reminder around 15 days after your move).

4. How Your Move Requests Are Handled

For each provider, we prepare content matched to how that provider accepts a move: an email we can send for you, an online form or portal you complete, or a phone call you make. We only ever send email on your behalf. Before we send any email, you must verify that you control your email address by entering a one-time code we email to you — this prevents anyone from triggering notifications in your name. Only after you verify and click send do we transmit each notification to the provider, from requests@utilitymove.ca on your behalf, with your email address as the reply address so providers respond directly to you. Your move details are shared with a provider only when you choose to send that notification. For providers whose process is an online form, portal, or phone call, you complete that step yourself using the contact details and prepared content we provide; we do not submit forms or place calls for you.

5. Service Providers We Use

We do not sell or rent your personal data. We rely on trusted third-party services to operate the platform, each governed by its own privacy policy:

  • Stripe — payment processing.
  • Twilio SendGrid — sending emails (verification codes, notifications you direct us to send, and confirmations) and reporting their delivery status.
  • Vercel — website hosting.
  • Google Firebase — secure data storage.
  • Google Maps — address autocomplete and geocoding.
  • PostHog — analytics and session replay, used only if you accept analytics cookies. Session replay records on-page interactions (with form inputs masked) to help us improve the service.

5A. Where Your Data Is Processed

Our service providers store and process data in the United States. While your information is outside Canada, it is subject to the laws of that jurisdiction, and may be accessible to that country's courts, law enforcement, and national-security authorities under lawful-access regimes. We use contractual and technical safeguards with each provider, but cannot override foreign law. Questions about our cross-border practices can be directed to our Privacy Officer (below).

6. Data Retention

We keep personal information only as long as each record is needed:

A verified deletion request (Section 8) runs the same erasure immediately rather than waiting for the schedule.

7. Your Rights

You have the right to access the personal information we hold about you and to request its correction or deletion. You can do this instantly using the self-service tool below, or by contacting us at privacy@utilitymove.ca. We respond to written requests within 30 days. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca, 1-800-282-1376).

8. Manage Your Data

Verify your email with a one-time code, then access a copy of your data or delete it. No account or sign-in required.

9. Accountability & Contact

UtilityMove is a business name registered in Ontario (Business Identification Number 1001696548) and operated as a sole proprietorship by Irwinder Sra. We are responsible for the personal information under our control and for compliance with this policy and with PIPEDA. Our designated Privacy Officer handles privacy questions, access and deletion requests, and complaints:
